Manhattan Hokies Privacy Notice
Effective September 30, 2026. This notice describes information collected through the Manhattan Hokies chapter signup and Hokie Plates interest forms.
Information you choose to share
Joining asks for your first name and email address; your last name is optional. We record your communications consent, signup source, confirmation and subscription history. Optional chapter interests and ideas help us plan activities. They do not change your subscription choices.
If you later complete an optional profile, it may include Virginia Tech affiliations, graduation years, education, interests, general region and professional details. Profiles are not published as a member directory.
Proposed plates and sharing
The separate plate-interest form records your name, email, selected state and ZIP code, optional VT affiliation, optional design preference and dream vanity idea, purchase intent, campaign tags and submission time. An email match may associate interest with a chapter contact, but does not verify identity or subscribe you to general chapter updates.
New York is the pilot; other-state responses are demand research only. Design preference is separate from purchase intent. Duplicate emails count once per campaign and selected state; an unauthenticated resubmission cannot change an existing interest record. No payment or actual vehicle plate number is collected. Dream vanity ideas are not reservations or availability checks.
A shareable link displays the selected state, concept and dream text without displaying your name, email or ZIP. Anyone with that link can view the shared configuration. Sharing is optional; avoid putting personal information in dream text you intend to share.
How we use information
We use chapter preferences to understand our community and plan events, networking, service and student support. Plate interest helps assess demand and possible next steps. These are separate purposes: expressing plate interest does not automatically subscribe you to general chapter emails.
Campaign links use random identifiers without names or email addresses. We record limited campaign tags, selected and landing states, per-page visit identifiers, form starts, share actions and referred submissions. A share action does not prove a message was sent. Public design results, when available, exclude synthetic and unverified interest and require a minimum number of responses. The supporter counter is currently hidden.
Communications consent
Chapter emails require an explicit consent choice and email confirmation. Consent is saved even while email delivery is not yet enabled. The website does not claim a confirmation was sent when it was not. Opening a confirmation link alone does not subscribe you: you must choose the confirmation action.
Chapter newsletters will include an unsubscribe link without requiring an account. Unsubscribing stops chapter updates; limited consent or suppression records may remain so we can respect that choice. Event attendance, reservations, donations and plate interest do not automatically grant newsletter consent.
Service providers and access
Vercel hosts the website and Supabase stores chapter records. Production records are separated from development and demonstration data, with server-restricted database access. Resend is the planned email provider; Production sending and audience synchronization are currently disabled. If enabled, email processing will use the contact and delivery information needed for consented communications; optional profile answers stay in the chapter database.
Information is used by chapter operators and service providers to operate these services. We do not offer a public member directory or sell information collected by these forms.
Website operation
Limited technical records help prevent abuse and diagnose errors. Confirmation may use a short-lived, first-party cookie for an optional profile submission. Campaign measurement does not use advertising trackers, device fingerprints or persistent analytics cookies. Separate chapter website analytics are currently disabled.
Your choices and retention
For questions or requests to access, correct or delete your information, contact info@manhattanhokies.com. We may need to verify the request before changing records.
We retain information for chapter operations, demand research and consent management. No automatic deletion deadline is currently in place. Limited consent, opt-out, security and backup records may need to be retained after a request. We will explain any limits when handling your request.
